The operational challenge
Loan sets arrive for a particular procedure but still need clear identification, processing coordination and a controlled return. Separate receiving and processing notes can make it harder to follow where the set is in the workflow.
The SurgiDat approach
SurgiDat supports loan-set shipping and receiving, with procedure-date receiving, kit identification, normal processing and sign-out. Facility configuration determines receiving fields and whether assembly labels are created at receive.
The value to evaluate
A shared workflow gives the team a way to review outstanding loans and processing readiness without treating every borrowed set as an unrelated side process.
A practical workflow
Receive for the procedure
Use the calendar and receiving record to capture the configured surgeon, procedure, case and timing information.
Identify the set
Use the semi-permanent loan tag or the configured receive-time assembly creation route.
Follow normal processing
Pack and sterilize through the processing workflow, with applicable biological requirements for loan sets or implants.
Follow shipping and sign-out
Complete the shipping and return handoff for the loan set. Confirm required HLD where configured, complete sign-out and release the reusable tag for reuse.
An illustrative scenario
A vendor set is received for a scheduled procedure. Its tag connects receiving with packing, where the assembly identity is established unless configured at receive. Staff follow processing and case activity before completing the loan sign-out.
Measures for a facility pilot
- Loans outstanding after the expected procedure or return date
- Receiving records missing required facility fields
- Time from receipt to processing readiness for sampled sets
A focused starting point
Agree receiving fields, tag use, assembly creation timing and return requirements. Exercise a representative loan from receipt through packing, processing, case handling and sign-out, including required biological steps. Confirm receiving and shipping ownership, the physical handoff and the records required at each end.
Scope and interpretation
SSK quick packing is separate from loan-set receiving. Facility settings control when assemblies are created and which HLD confirmations are required; the workflow must be matched to the site’s procedure.
